Adventures with VR (AVR) – Event Terms and Conditions

Scheduling & Reservations

  • For any event booked over 30 days prior to customer’s scheduled event, a 50% non-refundable deposit must be paid to AVR by customer in order to confirm their reservation date. All remaining payments can be made at any time but are due in full no later than 30 days prior to customer’s scheduled event date. If booking AVR event services within 30 days of customer’s event date, payment in full is required.
  • Cancellation Policy – Customer is free to cancel any event by email and/or in writing. If cancellation by customer occurs, customer agrees to pay AVR the 50% non-refundable deposit as well as any non-refundable expenses incurred by AVR in excess of this deposit amount. Upon request by customer, AVR will issue a refund check or credit within 7 – 10 business days of any remaining funds made by customer over the amount of customer’s 50% non-refundable deposit and AVR non-refundable expenses.
  • Rescheduling and Credit Policy – If cancellation by customer occurs, AVR will provide a credit for the value of the cancelled event minus any non-refundable travel expenses incurred by AVR. This event may then be rescheduled to a future date and location to be agreed on by both AVR and customer. Adventures with VR will make all reasonable attempts to accommodate any rescheduling request; provided, however, in the event that this change would impact other projects or events already scheduled by AVR. Customer agrees to forfeit any event credit if event booking does not take place within 6 months of the originally scheduled customer event date.
  • Adventures with VR will only schedule VR events in commercial spaces. Due to safety and liability concerns, AVR will not schedule events in private residences.
  • Adventures with VR requires the customer to furnish a high speed wifi or ethernet connection for any event. If unavailable, Adventures with VR may provide a high speed wireless hotspot for an additional fee.
  • Adventures with VR retains the right to cancel any event at any time for any reason without cause or penalty. In these cases, AVR will notify the customer of the cancellation and the customer will receive a full refund of their event fee within 7-10 business days.

Event Conduct & Content

  • For safety reasons, AVR reserves the right to refuse service to any participant who, in the sole judgement of AVR representatives, is seemingly impaired.
  • We reserve the right to refuse service to any participant that appears in our sole judgement of AVR representatives to have a medical condition or other condition that may be potentially contagious (ie., covid, conjunctivitis, head lice).
  • AVR events are dedicated to providing a harassment-free experience for everyone, regardless of gender, age, sexual orientation, disability, physical appearance, race, or religion (or lack thereof). AVR does not tolerate harassment of staff members or participants in any form. Sexual language and imagery is not appropriate for any AVR event. If AVR event participants violate these rules, AVR will ask for the customer’s event staff to remove the offending party. If AVR staff members still feel uncomfortable or experience threatening or improper conduct by any participant(s), AVR reserves the right to immediately cancel the event and remove AVR equipment from the event. In these extreme cases, customers will not receive a refund for any remaining scheduled AVR event time.
  • AVR will not provide adult content for any of its VR experiences. Adult content includes nudity or pornography.
  • If any participant damages AVR equipment, the repair or replacement fee will be charged to the customer and customer agrees to pay for the repair or replacement fee.

Liability

  • All participants may be required to sign a Release for Personal Injury prior to using any of AVR’s VR equipment.
  • Photo Release: All guests using AVR equipment hereby give the right and permission to copyright and use, photographic images or pictures of any user who may be included intact or in part, made through any and all media now or hereafter known for illustration, art, promotion, advertising, trade, or any other purpose. In addition, purchaser hereby releases, discharges, and agrees that Adventures with VR and its related entities, from any liability, that may occur or be produced in the taking of said pictures or in any subsequent processing thereof, as well as any publication thereof, including without limitation any claims for libel or invasion of privacy. All photos produced by Adventures with VR are property of Adventures with VR.
  • Customer agrees to indemnify and hold harmless Adventures with VR from any claims, demands, causes of action, liability, or loss made by any of their participants in the customer’s Adventure with VR event.
  • Use of AVR’s VR equipment is at the customer’s and participant’s own risk and participants agree not to use AVR equipment if they have a pre-existing medical condition that may prevent them from safely using AVR equipment.
